100% Unique Design Guarantee

Pivad Design ensures a unique design for each client tailored upon the client’s requirements. We do not copy other designs. We do not use clipart unless by client request. We do not use images from another source without permission.

Quality Assurance Policy

We strictly follow the instruction provided by our clients and strive to provide desired satisfaction. We follow a series of research steps to ensure a unique design delivery with excellence.

Warranty

To ensure your website is working correctly, we provide a 30 day warranty period from the time your site goes live, where we will update your website for free if there are any template links not working, email/account passwords requiring re-activation, or form fields re-programmed if they are not collecting the correct data.

Payments

We accept payment by cash, EFT, credit/debit cards, and Paypal. All quotes are priced in American dollars (USD). All quotes/estimates are valid for 30 days only. All quotes/estimates are subject to change depending on the client brief, artwork supplied to us, and the complexity of each individual job.

All new clients are charged a 25% non-refundable deposit, and the remaining balance before project delivery. For new websites, the final payment is due on approval of your website (site will remain offline until payment is received). Changes above and beyond what is quoted will be charged at $24 per hour.

All digitised imagery, logos and basic text to be supplied by the client or purchased separately through Pivad Design.

In the event of orders being cancelled or suspended, we require written confirmation and payment in full for the portion of work completed and material used to date.

Conditions

A project may be cancelled by the client or by Pivad Design. If a project is cancelled, please note that your 25% deposit is not refundable, and you may owe a balance for the portion of work completed and material used to date, based on our current design rate of $35 per hour.

Pivad Design has the right to cancel design projects when client agreements are not met, giving 24 hours notice.

  • The client agrees to supply all requested information for their design project within 24 hours.
  • The client agrees to supply all content for their website within 1 month of signing the project agreement.
  • The client agrees to supply feedback for ongoing design projects in a timely manner. Pivad Design is not responsible for an extended timeline when requested feedback is not received.

Receipt of the deposit payment is proof that you accept the terms of this proposal and approval to proceed with the job.

If you are cancelling your Hosting Service or Domain Name renewal, you must provide us 30 days notice in writing prior to the renewal date or payment will be required in full for the full year of hosting and Domain Name renewal cost.

All correspondence for the delivery and supply of website content is to be completed electronically, prior to the commencement of the site design. All digitised imagery, logos and basic text to be supplied by the client or purchased separately through Pivad Design.

All care is taken to accurately quote the functionality of websites, but as with all software programs, limitations can arise when customising the system to specific requirements. Pivad Design cannot be held liable for these limitations.

Quotes/estimates together with any attachments, as well as any new, different or additional terms, conditions or policies which we may establish from time to time, and any agreement that we are currently bound by or will be bound by in the future, constitutes the complete and exclusive agreement between you and us concerning your engagement of us on this project, and supersede and govern all prior written and verbal communications.

Ownership

Once final payment has been received, the website design ownership is transferred to the client (accept for any licenced fonts or stock images that have been supplied by Pivad and not purchased ‘separately’). Pivad Design retains and reserves the rights to use any and all content developed, regardless of ownership for display and self promotional purposes. We often include a nofollow link to Pivad Design in the footer of client websites for marketing purposes, which is omitted upon client request.

Processing Orders

We require a design brief, signature by an approved business representative, and 25% non-refundable deposit prior to commencing each job. Clients are required to provide the content for site pages via Email, Google Drive, or Dropbox. All site content must be supplied prior to us commencing the design. Content can include text, images (jpeg, psd, png, gif, eps), PDF documents, Microsoft Office files, embedded videos (preferably YouTube or Vimeo), acrobat forms, and any other formats supported by the CMS. If you require extra content, copywriting or stock library images for your site, this can be purchased separately.

Turnaround

Turnaround time depends on the project. All design projects are dependent upon the client/designer relationship and how quickly feedback is received. Design comps will be created and presented to the client for feedback. Changes will be made according to the feedback received. The design project isn’t complete until all design comp changes have been made and approved.

Once we have received all the content (imagery, text, logos etc) for your new website, your website project will be scheduled. A draft website design will then be produced within approximately three weeks. Once you have approved the website and we receive final payment, your site can then go live. If you have paid for Online Training or a Business Startup Guide, these will be provided. Contact us if you require urgent turnaround of any jobs.

Before your website goes live, we will perform a quality assurance review of each webpage to ensure all information and programming systems are accurate. Then we setup your email addresses, finalise the administrator details and supply you with all your username and password access information. If your domain is registered elsewhere, we will also assist in setting your Domain Name DNS (24-48 hr activation) to point to your new website.

Revision Policy

We provide unlimited complementary revisions and reviews on the package you select without any additional charges, provided that the design and concept are not altered. Revisions/reviews for design/concept are billed at $35/hr. Our revision and reviewing turnaround time is 48-72 hours.

Additional Work, Site Updates & Training

Unplanned components, ideas, revisions, and project scope can sometimes happen. When there is an unexpected or requested addition to design or programming that will incur a cost, we will notify you ahead of time and will not commence the job unless we receive clear approval to proceed.

The current hourly rate is $35 per hour, invoiced on a 7 day account. Online Training is charged at $70 per hour, plus a non-refundable $35 deposit for  training preparation. Our hourly rate is subject to change without notice. We do not supply timebilling breakdowns, but invoices are itemised. Some additional projects and/or site modifications can be offered on a fix-price basis.

Delivery Policy

Pivad Design delivers files to clients per the date specified on the Order Confirmation. We send confirmation emails to our clients on sign-up, order placement, revision placement, order confirmation, and payment confirmation. Record Maintenance

Our data management team keeps a record of all finalized designs and makes them available on request.

Domain and Hosting

We provide discounted Web Design services with our Hosting packages, if applicable.

We provide email accounts to the clients who host their website with us.

Email accounts can be configured on third party email Softwares such as outlook.com.

Email Account Setup

We make allowance for the setup of all quoted email addresses using your Domain Name through your Pivad cPanel. These email addresses are chosen by you and we will supply you with usernames, mail server details, and a password activation for you to setup your mail program.

Refund Policy / Moneyback Guarantee

Refund requests are honored before the initial design is created and offered, and before the design/work has been approved. Pivad Design has the right to terminate any contract whenever deemed necessary, such as in the case of any breach or non-compliance with our policy.

  • A refund request can be made when the initial design is created and offered. We are not liable to refund payments once the initial designs have been approved.
  • You are entitled to full money back guarantee (holding 10% of management fee) if the refund request is made before delivery of the initial design concept.
  • You are eligible for a 68% refund amount (holding 10% service & processing fee) if a refund request is made within 48- 72 hours after the delivery of initial design concepts.
  • You are eligible for a 35% refund amount (holding 10% service & processing fee) if a refund request is made within 72-120 hours after the delivery of initial design concepts
  • No refunds are issued after 120 hours of your initial design delivery, but you may contact our support team for any query.
  • You may request a refund within 60 days after placing your order. However, management fee is incurred on reactivation of a design order subjected to the type of project.
  • Pivad Design has the right to approve/disapprove a refund request based on the user agreement and policies. However, you may submit a refund request to our support department.
  • Refunds are not given if a client has selected/ initiated a design.
  • A deployed and live website is not subject to any refund policy.
  • Refund is going to be the same on Custom Packages of Pivad Design.
  • Pivad Design will only entertain valid refund requests that are qualified against the design brief and the feedback given for revisions.
  • Customer feedback is required before finalizing design projects. It is the client’s responsibility to provide feedback once the designs have been submitted.
  • Any resemblance to an existing design will merely be a coincidence. Pivad Design will not accept any accountability/ claim of any recompense in such a case. It is the client’s responsibility to procure design rights.
